Stop chasing crews for days off: let them set their own availability

Most office teams run the same ritual every week: text every crew, "What days do you need off?" Then chase the people who didn't answer. Then write it on a whiteboard or stick a note at the top of the calendar. By Wednesday it's already out of date.

It works until it doesn't. Someone says "wait, I'm not available Friday afternoon, I have an appointment — I told you that." Except it got missed in the thread. You've already promised the slot. Now you're reshuffling and apologizing.

Why this keeps happening

Availability lives in three places that don't talk to each other: the crew's head, a text thread, and your memory. None of them are on the calendar when you're on the phone with a customer.

Jobber is great at tracking jobs, but it has no clean place for a crew to say "I'm out Friday" or "mornings only this week." So that information never makes it into the view you actually book from. You're left guessing — and guesses become double-bookings.

Make availability an input, not a text thread

The fix is to capture days off and partial availability once, in the same place you read availability. Two ways to do it, smallest first:

  • Admin-entered: your office marks who's out, by day or half-day, in one screen — no more sticky notes.
  • Crew self-serve: crews log in and set their own availability. If they're open, the slot is bookable; if they're out, it's hidden. The weekly chase disappears.

Either way, the answer to "who's free Thursday?" now reflects reality — booked jobs and time off — instead of just what's on the job calendar.
