How to see crew availability in Jobber (without the spreadsheet)

If you run crews on Jobber, you already know the pain: a customer asks for Thursday, and you open the calendar to a wall of color-coded blocks across eight crews. Are those overlapping? Is that Marcus or Mike? You stall, promise to "call back in five minutes," and hope nobody's double-booked.
Jobber is great at telling you what's booked. It's not built to answer the question you actually need answered on the phone: who's free, and when?
Why the calendar grid falls short
The visit calendar is organized around jobs, not capacity. To read availability you have to mentally invert it — scan every crew, every day, and subtract what's filled from what's possible. That works at two crews. It breaks down at eight, and it's hopeless across a month.
Three things make it worse:
- Recurring work hides capacity. Routes and repeat visits fill the grid with blocks that look booked but may still have room.
- Solo techs vs. crews. A tech doing 2–4 jobs a day reads completely differently from a crew doing one big job — but the calendar shows them the same way.
- The answer expires. By the time you've worked it out, the customer's patience is gone.
What "good" looks like
A useful availability view answers one question per cell: how full is this person or crew on this day?
Green means free. Amber means filling up. Red means booked. No squinting.
That single shift — from "what's scheduled" to "how much capacity is left" — is the difference between booking the job on the first call and losing it to a callback that never happens.
A simple way to get there
- Pick your unit. Crew or solo tech — whichever matches how you actually dispatch.
- Set a daily capacity. One big job per crew, or 2–4 stops per tech. This is the number the calendar measures against.
