Privacy Policy

This Privacy Policy describes how Adeocode LLC (“we,” “us,” or “our”) collects, uses, discloses, and protects your information when you visit crewsyncer.com (the “Site”), use our scheduling-visibility software-as-a-service platform (the “Service”), or otherwise interact with us.
By accessing or using the Service, you agree to this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Information You Provide Directly
Account & Waitlist Information: Name, email address, company name, and phone number when you create an account or join our waitlist. Account authentication is handled by our provider, Clerk — we do not create or store your password.
Billing Information: Payment details are collected and processed by our payment processor, Stripe, Inc. We do not store your full card number, bank account number, or other sensitive payment data on our servers.
Communications: Information you provide when you contact us for support, submit feedback, or respond to surveys.
1.2 Information from Third-Party Integrations
When you connect CrewSyncer to Jobber, we access certain data through its OAuth-authorized, read-only API scopes to provide the Service. The specific data we read includes:
- Account information: Your Jobber Account ID and business name (used to identify your tenant).
- Staff/user data: Staff user IDs, names, and roles (used to build the crew-availability matrix).
- Scheduled items: Visit dates, times, types, and crew assignments (the core availability data powering the Service).
- Job details: Job ID, title, and status — accessed only when displaying job context in the day-view side panel.
- Client details: Client name and service address — accessed only when displaying visit context in the day-view side panel.
1.3 What We Store from Jobber
We practice data minimization. The only Jobber-sourced data we persist on our servers is:
- Encrypted OAuth tokens (AES-256-GCM), deleted when you disconnect the integration
- Your Account ID and business name
- Staff user IDs flagged as crew leads, plus your capacity configuration
- A transient availability matrix cached for approximately 60–120 seconds, then automatically expired
We do not permanently store your end customers’ personally identifiable information (names, addresses, or contact details), and we do not access or store payment information from your Jobber account. We access Jobber on a read-only basis and do not write data back to it.
1.4 Information Collected Automatically
Usage Data: Pages visited, features used, clicks, session duration, and referring URLs.
Device and Browser Information: IP address, browser type and version, operating system, device type, and screen resolution.
Cookies and Tracking Technologies: We use cookies, pixels (including the Meta Pixel), and product analytics (PostHog) for analytics, advertising, and site functionality. See Section 6.
2. How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve the Service
- Process transactions and send related information (receipts, confirmations, invoices)
- Read and display scheduling data from your connected platform
- Send you technical notices, updates, security alerts, and support messages
- Send marketing communications (you may opt out at any time)
- Respond to your comments, questions, and support requests
- Monitor and analyze trends and usage to improve the Service
- Detect, investigate, and prevent fraud and unauthorized access
- Comply with legal obligations
3. How We Share Your Information
We do not sell your personal information. We may share information in the following circumstances:
- Service Providers (Sub-processors): We share data with vendors who perform services on our behalf, including Stripe (payment processing), Vercel (hosting), Neon (database), Upstash (Redis cache and token storage), Clerk (authentication), PostHog (product analytics), Meta (advertising/pixel), Formspree (waitlist form), and RB2B (B2B website-visitor identification). These providers are contractually obligated to use your data only as necessary to provide services to us.
- Connected Platforms: We access your connected platform (e.g., Jobber) on a read-only basis to retrieve scheduling data. We do not write data back to your connected platform.
- Legal Requirements: We may disclose information if required by law, regulation, legal process, or governmental request.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- With Your Consent: We may share information for other purposes with your explicit consent.
4. Data Retention
We retain your personal information for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete or anonymize your data within 90 days, except where retention is required for legal, tax, or accounting purposes.
Scheduling data from Jobber is not permanently stored. The availability matrix is cached (in Redis) for approximately 60–120 seconds and then automatically expired. We do not maintain a permanent archive of your Jobber scheduling data, job details, or client information.
5. Data Security
We implement industry-standard technical and organizational measures to protect your personal information, including encryption in transit (TLS/SSL), encryption of stored OAuth tokens at rest (AES-256-GCM), access controls, and regular security reviews. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
6. Cookies and Tracking Technologies
- Essential Cookies: Required for the Site and Service to function (e.g., authentication, session management).
- Analytics: Help us understand how visitors interact with the Site (PostHog).
- Advertising: Used to deliver relevant advertisements and measure campaign effectiveness (Meta Pixel).
- Visitor Identification: When you visit our website, cookies and similar technologies may be used by our online data partners or vendors (RB2B) to associate these activities with other personal information they or others have about you, including by association with your email. You can opt out at app.retention.com/optout.
You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the Service.
7. Your Rights and Choices
7.1 All Users
- Access, update, or delete your account information by logging in or contacting support@crewsyncer.com.
- Opt out of marketing emails via the “unsubscribe” link in any email.
- Disconnect your Jobber account from CrewSyncer at any time through your account settings.
7.2 California Residents (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act and the California Privacy Rights Act, including the right to know what personal information we collect and how it is used, the right to request deletion, the right to opt out of the sale or sharing of personal information (we do not sell your data), and the right to non-discrimination for exercising your rights. 8. Geographic Scope and International Users
The Service is intended for businesses located in the United States and Canada. Your information is processed and stored in the United States, where our servers and operations are located. If you access the Service from outside these regions, you do so on your own initiative and consent to the transfer and processing of your information in the United States, which may have different data-protection laws than your jurisdiction.
9. Third-Party Links and Services
The Service may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. We encourage you to read the privacy policy of every site you visit.
10. Children’s Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will take steps to delete it promptly.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Site and updating the “Last Updated” date above. Your continued use of the Service after any changes constitutes your acceptance of the revised policy.
