Give office staff Jobber access without sharing your admin login

Here's a pattern we see in almost every home-service shop running on Jobber: the owner has the admin login, and everyone who needs to check the schedule — the dispatcher, the office manager, the part-time CSR — ends up using that same login.

It works, until it doesn't. One shared password means no idea who changed what, full admin power in the hands of someone who just needs to see availability, and a scramble to reset everything the day that CSR leaves.

Why teams end up here

Jobber's user seats and permissions are built around employees who do jobs — techs, crews, field staff. The office person who just needs to read the calendar and tell a customer when a crew is free doesn't fit cleanly. Adding them as a full user can mean another seat and more permission than the role needs, so people take the shortcut and share the owner login.

The result is the worst of both worlds: too much access for the person, too little visibility for the owner.

The safer options

  1. A proper Jobber user with limited permissions. The right answer when the person genuinely works in Jobber day to day. Costs a seat and still grants more than "just look at the schedule."
  2. A read-only availability view outside Jobber. If all they need is "who's free Thursday?", give them exactly that — a live, read-only view of crew availability that never touches your Jobber settings, billing, or client data.

The goal isn't to lock people out. It's to match access to the job: the front desk should see availability without being able to delete a client.
